Specialty Pavilions

Eligible companies may reserve one (1) 10’ x 10’ booth space located in the New Exhibitor Pavilion, the NIH Pavilion, or the Nonprofit & Advocacy Pavilion at the discounted rates (USD) below. Each pavilion booth includes a basic furniture and carpet package. Advertising, Sponsorships, and Meeting Rooms

Ancillary Events: Application opens May 1, due June 16

These non-ASHG sponsored events are held during the official Annual Meeting dates, and examples include business meetings, committee meetings, social gatherings, and receptions. (After-hours ancillary events are not hosted in the convention center.) Such events are not permitted to overlap with official scientific programming, and daytime ancillary events may not feature content that is primarily commercial in nature, e.g., product demonstrations.

Space is assigned on a space-available basis according to the priority list below in a manner that will best accommodate as many events as possible:

  • Official ASHG-related events.
  • Events that relate to scientific scholarship, conduct of research, delivery of services, and/or public information related to science.
  • All other requests, such as exhibitor workshops and committee meetings.
Industry Events: Request Form Opens late January through September 8

ASHG welcomes and encourages industry speakers and presentations at the Annual Meeting to present what’s new and exciting in the field with our attendees with our two sponsorable session types.

CoLab Sessions

30-minutes session held in one of our preset CoLab Theaters on the Exhibit & Poster Hall floor during programming breaks. These sessions are turnkey and include furniture and basic AV package – just plug in your USB drive and present! Note: Lead retreeival and videography services are permitted, but there is no catering or wifi orders permitted for CoLab Theaters.

  • Exhibitors: $7,500 per session
  • Non-exhibiting sponsor: $10,000 per session
Industry Education Sessions

60-minute session over lunch and afternoon poster sessions in dedicated rooms inside the convention center. Catered sessions are a great way to draw attendees! Note: These sessions include furniture and the room rental, but AV, catering, etc. are not included and must be ordered separately.

  • Exhibitors: $5,000 per session
  • Non-exhibiting sponsor: $7,500 per session
  • Large room upgrade fee (250+ people): $1,000 per session

Requests may be submitted through a separate form starting in January; sessions will be invoiced accordingly upon approval. Sessions and time slots are assigned on a space-available basis in the order requests are received until September 8 or until all slots are filled, whichever comes first.

Q: Where can I find this year’s exhibitor contract with exhibitor rules, refund policies, etc.?

You can find our 2025 Exhibitor Rules and Regulations here. These serve as the terms and conditions of your exhibit contract; please review thoroughly as updates have been made for this year. Apply for exhibit space here!

Q: What booth sizes can I reserve?

Commercial booth space is available in 10′ x 10′ increments, starting at a single 10’ x 10’ space and going all the way up to 20’ x 40’ island spaces or larger. Apply for exhibit space here!

Q: Can I combine booths to make a 10’ x 20’ space or larger?

Yes, we can combine most available booths, as long as it does not create an endcap/peninsula space. Contact the Exhibits team at exhibits@ashg.org and we’ll help you build the perfect booth!

Q: Why are so many booths already taken?

All registered exhibitors were invited to reserve space for the following year’s meeting while onsite at our current Annual Meeting. This is a special benefit just for current exhibitors while onsite. Review our 2025 Exhibitor Rules and Regulations here for more information on the presale and priority points process.

Q: Can I have a 10’ x 20’ or larger booth that sits on the end of a row of exhibits?

No, ASHG does not permit endcap or peninsula booths that sit across two aisles of exhibitors.

Q: What comes with my booth?

With each exhibit space reserved (regular and pavilion spaces), exhibitors will receive:

  • Company name, booth number, URL, and description on the ASHG 2025 interactive Exhibit & Poster Hall floor plan and mobile app. (Upgraded digital packages are also available with our exclusive media partners!)
  • Opportunities to host exhibitor and/or social events for meeting attendees for exclusive rates.
  • Exclusive access to promotional opportunities to further your brand at the meeting.
  • Exhibitor badges for up to 6 company representatives for each 10′ x 10′ space reserved (for example, a 10×10 booth receives 6 exhibitor badges, a 10×20 booth receives 12 exhibitor badges, etc.).
  • Two complimentary full scientific registrations for each exhibiting company (regardless of booth size).
  • Complimentary badges for guests of exhibitors for admission to exhibit floor.
  • Exclusive opportunity to rent exhibitor suites in the convention center for private meeting space with clients or exhibitor business meetings.
  • Identification sign for company name: 7” x 44”.
  • 8’ high back drape and 36” high side rails in show colors for each 10’ x 10’ booth.
  • Aisle carpeting in show colors (if applicable).
  • Exhibit floor perimeter security when exhibits are closed.

Q: Does furniture or electrical come with my booth?

Unless your booth is in one of the specialty pavilions, your booth comes empty (other than pipe and drape to separate neighboring booths) and your space rental does not include any furniture, carpet, or graphics.

All services such as electrical, lead retrieval, etc., must be ordered separately for all booths, regardless of type or pavilion.

Please review the guidelines on line-of-sight requirements and height restrictions in detail before you place any orders for graphics, back walls, etc. These are the two restrictions most commonly overlooked when exhibitors purchase their display materials from third-party manufacturers, and we do enforce these on the exhibit floor.
